Terms and Conditions

To ensure everyone understands how we work, please read the following Terms and Conditions.

These policies exist to:


  • Safeguard the wellbeing of our pupils.
  • Protect the excellent reputation of our school.



The Village School of Dance reserves the right to refuse entry to classes if these rules are not followed. Policies are reviewed regularly, and we advise parents to check for updates. If you have questions, please contact info@thevillageschoolofdance.com.





1. Payments and Fees



1.1 Places in our classes are secured by monthly subscription payments only.

1.2 We do not accept cash, cheques, one-off BACS payments or fast-track payments.

1.3 We reserve the right to adjust fees or collection dates. Notice will be given via email before any change.

1.4 Fees are reviewed annually.

1.5 All registrations and payments are managed through Class4Kids via our website: www.thevillageschoolofdance.com.

1.6 Payment is taken on the 1st of every month. Failure to pay may result in losing your child’s place. If you are struggling with payments, please contact us.

1.7 Prices are based on 35 weeks of classes.

1.8 Fees are pro-rated and split into 12 equal monthly payments.

1.9 The subscription system ensures timely payments and reduces admin.

1.10 Regular class fees are strictly non-refundable. Trial and camp bookings are subject to separate cancellation policies (see Section 2).

1.11 A £10 late fee will be added to any payments not received on the 1st of the month. This will be collected with the next month’s payment.

1.12 A one-off joining fee of £50 will be charged on the day you sign up for classes.

1.13 Each year on September 1st, an annual membership fee of £40 will be taken as a ‘covering payment’.

1.14 These fees help to cover costs such as insurance, student reports, team training days, member referral benefits, and early access to camp bookings.





2. Cancellation and Refunds

Weekly Classes


2.1 Cancelling a weekly class requires written notice by email (info@thevillageschoolofdance.com).


  • If notice is given before the 1st of the month, one final full month’s fee will be charged.
  • If notice is given between the 1st and 7th of the month, 50% of the following month’s fee will be charged.
  • If notice is given after the 7th of the month, the full following month’s fee will be charged.



2.2 Classes with fewer than five students may be cancelled at the school’s discretion.

2.3 Missed lessons remain payable. Substitute classes may be offered where possible.



Trials


2.4 Trial bookings are non-refundable once the trial has started.

2.5 If cancelled with 7 days or more notice before the trial start date, a refund or credit may be issued at the school’s discretion.

2.6 Cancellations with less than 7 days’ notice are non-refundable.



Camps



2.7 Camp bookings are non-refundable.

2.8 If cancelled with 14 days or more notice before the camp start date, a credit may be issued or the booking may be transferred to another child (subject to availability and approval).

2.9 Cancellations with less than 14 days’ notice are non-refundable.





3. Clothing and Appearance


3.1 No jewellery or accessories may be worn in class for safety reasons.

3.2 Correct uniform must be worn at every class.

3.3 Hair should be tied neatly in a ponytail, plait, or bun.

3.4 Students taking part in performances must purchase or hire costumes, tickets, and other related items.





4. Classes and Performances


4.1 We aim to provide high-quality teaching that balances fun with discipline. Disruptive behaviour may result in a warning, and continued disruption will be discussed with parents.

4.2 Photos and videos may be taken during classes for promotional purposes. Please email us if you do not wish your child to be included. We may also work with external media partners in line with our data protection policy.

4.3 Our biannual performance is professionally recorded. Personal cameras or recording equipment are not permitted.

4.4 All payments for shows are non-refundable.

4.5 Mobile phones are not permitted in the studio unless used for learning purposes. Any phones used inappropriately will be confiscated and returned at the end of class.

4.6 We cannot accept liability for lost or damaged belongings. Please label all items clearly.

4.7 Children will not be allowed to leave the building without a parent/guardian (unless otherwise agreed).

4.8 Teachers will ensure a safe learning environment, but The Village School of Dance cannot be held responsible for injuries incurred during class.

4.9 If you are delayed collecting your child, please contact us immediately.

4.10 To drop a class, please confirm in writing by email.

4.11 To add a class, bookings can be made via our website or by emailing us.





5. Behaviour and Discipline


5.1 We operate a strict anti-bullying policy. Disruptive behaviour will not be tolerated.

5.2 We aim to set clear boundaries and build confidence in line with our school ethos.

5.3 Abusive or disrespectful behaviour from students or parents towards staff will not be tolerated.

5.4 Consistent unruly or aggressive behaviour may result in termination of membership.





6. General Policies


6.1 Parents must disclose any medical conditions on registration and update us if anything changes. This is vital for your child’s safety.

6.2 School communication is via email and social media. Please check your junk/spam folders and follow our channels to stay updated.

6.3 Physical contact between teachers and students may be necessary for safe teaching and correction.

6.4 If a class is cancelled due to circumstances beyond our control, fees are non-refundable.

6.5 Participation in shows and events is optional.

6.6 By enrolling, you agree to abide by these Terms & Conditions, which may be updated from time to time.
