Terms & Conditions

These Terms & Conditions are in place to:


  • Safeguard the wellbeing of our students
  • Protect the reputation, staff, and operation of The Village School of Dance



By enrolling in any class, club, trial, camp, or event, you agree to be bound by these Terms & Conditions. Policies are reviewed regularly, and parents/carers are responsible for checking for updates.

The Village School of Dance reserves the right to refuse or withdraw access to classes if these Terms & Conditions are not adhered to.





1. Fees, Payments & Subscriptions



1.1 All places are secured by subscription or pre-paid term fees only. We do not accept cash, cheques, one-off BACS payments, or fast-track payments.


1.2 All registrations, bookings, and payments are managed via Class4Kids through our website:

1.3 Payment is taken on the 1st of every month unless otherwise stated.


1.4 Fees are reviewed annually and may be adjusted. Any changes will be communicated by email in advance.


1.5 Failure to make payment on the due date may result in the suspension or loss of your child’s place.


1.6 A £10 late payment fee will be added to any payments not received on the 1st of the month and collected with the next scheduled payment.





Subscription Fees



1.7 Subscription fees are calculated based on approximately 35 weeks of classes per year, unless otherwise stated.


1.8 The total annual fee is pro-rated and split into 12 equal monthly payments, regardless of:


  • School holidays
  • Absences
  • The number of classes falling within any individual month



1.9 Subscriptions are designed to reduce administrative costs and ensure consistent staffing and venue availability.


1.10 All subscription payments are non-refundable, except where required by law.





Joining Fees & Covering Payments



1.11 A one-off joining fee of £50 is payable upon registration.


1.12 An annual membership fee of £40 is charged on 1st September each year as a covering payment. This contributes towards insurance, reports, staff training, referral benefits, and early booking access.


1.13 If a student joins part-way through a month, access to classes will begin immediately.


1.14 Any sessions attended before the first scheduled subscription payment will be charged as a covering payment, which will be added to the following month’s payment.





2. Cancellations, Notice & Refunds

Weekly Classes & Subscription-Based Activities

2.1 All cancellations must be submitted in writing by email to info@thevillageschoolofdance.com. Verbal notice is not accepted.


2.2 A minimum of one full calendar month’s notice is required to cancel a subscription.


2.3 Notice periods are calculated as follows:


  • Notice received before the 1st of the month:
  • One final full month’s payment will be taken.
  • Notice received between the 1st and 7th of the month:
  • 50% of the following month’s fee will be charged.
  • Notice received after the 7th of the month:
  • The full following month’s fee will be charged.



2.4 If notice is received within the first 7 days of the month, the subscription will be cancelled after the final required payment. Notice received after this time will incur the next month’s fee.


2.5 Missed classes, holidays, illness, or personal circumstances do not entitle families to refunds or fee reductions.


2.6 Classes with fewer than five students may be cancelled or merged at the school’s discretion.


Trials

2.7 Trial bookings are non-refundable once the trial has started.


2.8 Trials cancelled with 7 days or more notice before the start date may be refunded or credited at the school’s discretion.


2.9 Trials cancelled with less than 7 days’ notice are non-refundable.


Camps

2.10 Camp bookings are non-refundable.


2.11 Cancellations with 14 days or more notice may receive a credit or transfer (subject to availability and approval).


2.12 Cancellations with less than 14 days’ notice are non-refundable.


3. School Clubs (Primary School Sites)

3.1 The Village School of Dance operates school clubs on-site at partner schools. Clubs may operate on either:


  • a term-by-term payment basis, or
  • a 12-month subscription basis


The payment structure will be clearly stated at the time of booking.


Term-Based School Clubs

3.2 Term-based school clubs are charged per term and must be paid in advance.


3.3 Once the term has started, fees are non-refundable and places cannot be cancelled or transferred mid-term unless agreed in writing.





Subscription-Based School Clubs

3.4 Subscription-based school clubs follow the same payment structure as weekly classes (see Section 1).


3.5 Each school may run a different number of weeks per year. The total annual cost is calculated accordingly and split into 12 equal monthly payments.


3.6 Payments are taken on the 1st of each month, regardless of how many sessions fall within that month.


3.7 Joining part-way through a month will result in a covering payment being added to the following month’s subscription.


3.8 Subscription-based school clubs are subject to the same notice and cancellation terms outlined in Section 2.





4. Clothing, Uniform & Appearance

4.1 For safety reasons, no jewellery or accessories may be worn.


4.2 Correct uniform must be worn at all classes.


4.3 Hair must be neatly secured.


4.4 Participation in performances requires the purchase or hire of costumes and tickets. These costs are non-refundable.


5. Classes, Performances & Media

5.1 We aim to provide a safe, positive, and structured learning environment. Persistent disruptive behaviour may result in removal from class.


5.2 Photos and videos may be taken for promotional purposes. Opt-out requests must be submitted in writing.


5.3 Our biannual shows are professionally recorded. Personal recording equipment is not permitted.


5.4 All show-related payments are non-refundable.


5.5 Mobile phones are not permitted unless used for learning.


5.6 We accept no responsibility for lost or damaged property.


5.7 Children may not leave the premises without a parent/carer unless agreed in advance.


5.8 While every care is taken, participation is at the student’s own risk.


6. Behaviour & Conduct

6.1 We operate a zero-tolerance policy for bullying.


6.2 Abusive or disrespectful behaviour towards staff or students will result in immediate review and possible termination of membership.


7. General Policies

7.1 Medical information must be disclosed and kept up to date.


7.2 Communication is primarily via email and social media.


7.3 Physical contact may be required for safe teaching and correction.


7.4 Classes cancelled due to circumstances beyond our control are non-refundable.


7.5 Participation in performances and events is optional.


7.6 Enrolment confirms acceptance of these Terms & Conditions, which may be updated at any time.
